Role: Veterinary Receptionist & Assistant Hybrid Role
The Ilderton Pet Hospital is looking for an energetic, enthusiastic, team-oriented individual with a warm and inviting personality to join our growing team! We are passionate about providing quality care and service to our patients and clients and have a close-knit, fun-loving clinic family.
We are seeking a candidate for a full-time Reception & Assistant hybrid position for 29.0 to 34.0 hours per week (two 8.5-hour shifts Monday and Friday, two 6.0 or 8.5-hour shifts Tuesday and Thursday, plus occasional Saturdays) with the potential for more hours in the future.
Our ideal candidate will possess a love of teamwork, excellent client communication and customer service skills, and the ability to multi-task well in an action-packed work environment. They should also be comfortable assisting with animal handling and supporting the veterinary team with daily clinical tasks. At Ilderton Pet Hospital, both Veterinary Assistants and Receptionists play vital roles in ensuring smooth clinic operations and high-quality animal care. Veterinary Assistants support veterinarians and technicians with hands-on tasks, directly contributing to patient care and clinic efficiency. Veterinary Receptionists serve as the first point of contact for clients, handling administrative duties and facilitating communication between clients and the veterinary team.
An exceptional Veterinary Receptionist and Assistant should also be understanding and emphatic with the ability to develop professional and engaging relationships with clients and patients. A love of ongoing learning and veterinary clinic experience and/or VMOA is preferred.
Reception-Specific Duties:
- Greeting and welcoming clients and patients
- Checking in and weighing patients and directing them into the exam room
- Answering and making telephone calls
- Managing email inbox
- Scheduling and confirming appointments using Alisvet Veterinary Software
- Maintaining client and patient files and records
- Issuing invoices for treatment, prescribed medication, food, supplements, and other over-the-counter pet accessories and toys
- Receiving and verifying payments for products and services
- Performing opening duties to ensure the clinic is ready for staff and clients
- Completing end-of-day settlement and closing procedures
- Maintaining the reception area to ensure a high level of organization and cleanliness
- Preparing admission paperwork for surgical patients
- Cleaning and tidying exam rooms as needed
- Managing pet insurance forms and submissions
- Liaising with other reception staff members to ensure all duties are completed
- Liaising with surrounding area referral and emergency facilities as directed
Assistant-Specific Duties:
- Safely and securely handle and restrain animals during examinations, treatments, and procedures
- Assist in maintaining the overall cleanliness, organization, and appearance of the clinic
- Monitor and replenish the stock of supplies
- Assist in unpacking daily supply orders
- Fill medication and prevention prescriptions
- Assist in preparing routine laboratory tests
- Assist in collecting laboratory specimens
- Assist in restraining patients for X-ray imaging
- Assist in treatment administration and medical procedures
- Assist in basic animal husbandry
- Assist in monitoring changes in animal behaviour and overall condition
- Offer basic information to clients on pet care, preventative health and common procedures
- Accurately relay follow-up and homecare instructions
- Prepare and present estimates to clients
- Completing referral forms and requests
Education Requirements:
- High school diploma or equivalent
- Veterinary Assistant and Office Administration Certificate or equivalent is an asset
Experience Requirements:
- Previous veterinary or administrative experience is an asset
- Knowledge of veterinary procedures, medication and terminology is an asset
- Experience with handling animals is an asset
- Experience with Alisvet Software is an asset
- Intermediate computer proficiency
- Basic arithmetic skills
- Excellent written and verbal communication skills
- Ability to maintain confidentiality
- Excellent organization, time management, and multitasking abilities
Position Requirements:
- Position requires lifting, carrying, and restraining animals. You may walk or stand for extended periods of time; frequently in a bent or squatting position.
- Must be able to safely take diagnostic radiographs, except when contraindicated.
